GWMail Quotas and Eligibility



Disk Space Quotas

Disk space quotas are set for all users of the GWMail system. A user may only store mail on the GWMail system up to their allocated disk space quota.

Weekly e-mail notifications are sent to the e-mail account if the account is at 75 percent utilization and once a day if the account is at 90 percent utilization. You can view your quota on the Account Management Console. If an individual reaches 100 percent utilization of their disk quota, he or she will be unable to receive any additional messages until mail is deleted.

The disk quotas are set based on the GW NetID account type, as follows:

  • Student: 20 MB
     
  • Faculty: 50 MB

  • Staff/Research Professional: 50 MB

  • Temporary Staff: 20 MB

  • Faculty Emeriti: 50 MB

  • Visiting Scholar: 20 MB

  • Contractor/Consultant: 20 MB

  • Friends of the University: 20 MB

  • Organization, Student Organization: 20 MB

  • Organization, All Other: 50 MB

Disk quotas are set based upon the initial GW NetID account type at the time of account creation, as defined by the Banner system. Those who qualify for multiple types receive the highest quota for which they are eligible.

If an account holder has a change in account type that results in that individual being eligible only for a lower quota than his or her current quota, his or her quota will be reduced to the lower amount. However, prior to reducing the quota, a notification will be sent to the user via e-mail, followed by a three-month waiting period. If the individual's account type has not changed during that three-month period, the lowered disk quota will be placed into effect.


Quota Increases

Quota increases are available to faculty, staff and department classifications only. An increase to 100MB is available through this online form. Increases in excess of 100MB may be requested by faculty, staff, and departments in 50MB increments for an additional fee.

Account Eligibility

In order to keep a GW e-mail account, the group or individual must maintain eligibility for a GW NetID account. NetID accounts may be termed “inactive” or “purged” for reasons detailed in the GW NetID Policy, in which case access to the GWMail system would be revoked and, in the case of “purged” accounts, all e-mail irrevocably deleted.


Account Status

A NetID account may have one of three statuses: active, inactive, or purged.

Active Accounts
Active accounts are fully functional.

Inactive Accounts
A NetID with a status of “inactive” cannot be used to authenticate to or access any system. The GWMail system will reject mail for the associated GWMail account. An inactive account may be reactivated upon request as described in "Account Reinstatement" below.

Purged Accounts
Purged accounts have the same restrictions as inactive accounts, with no authentication/access allowed and no e-mail delivered. When account status is changed to "purged," all e-mail in the associated GWMail e-mail account is irrevocably removed from the GWMail system. A purged account may be reactivated upon request as described in "Account Reinstatement" below.

  • Any account that retains a status of "inactive" for a continuous period of three months will have its status changed to "purged."
  • Any account that retains a status of "purged" for a continuous period of nine months will be removed from the NetID system, and the NetID username will be available for reuse.


Account Reinstatement

An account with a status of "inactive" or "purged" may be reinstated (i.e., returned to active status) if the account holder is currently eligible for a NetID account. For both University Constituent (UC) and Affiliated University Constituent (AUC) accounts, account reinstatement requires a request to the Online Directory Administrator at elecdir@gwu.edu.

Once removed from the system when an account is purged, e-mail cannot be restored to a GWMail account, even if the purged NetID is reinstated.

Account Deletion

An individual may request deletion of his/her account. The account to be deleted will be flagged as "delete-request" (with all the properties of an "inactive" account) for four days. Account status will then be changed to "purged."

As noted in the "Purged Accounts" section above, any account that retains purged status for a continuous period of nine months will be removed from the NetID system, and the NetID username will then be available for re-use.

Duplicate Accounts

In the unlikely event that an individual is found to have more than one NetID account,
that person will be contacted by ISS and asked to choose an account to be deleted. The
account deletion will be handled in the same manner as an individual account deletion
request (described in the "Account Deletion"
section above).

If the account holder fails to respond to the ISS communication within one month, he/she will receive a second notice. Failure to respond after a second month will result in all of the individual’s NetID accounts being changed to inactive status.
